We are excited to be meeting in a shared Annual Conference this year! The Ministry Marketplace Displays reflect the diversity of United Methodist ministries and highlight helpful resources for local churches. This year, limited space is forcing some major changes, so please read the following guidelines carefully!

Only invited UM boards, agencies, related agencies will have displays. There will not be a general request for applications.

For the year 2017, we will not have space for any sales by any group. Those who have sold products in the past are encouraged to bring flyers about their products and instructions for ordering which may be distributed to Conference attendees.

All participants in the Ministry Marketplace Displays must register with the Coordinator and receive written (e-mailed) confirmation before setting up any display at the event.

Again, because of limited space, similar agencies/organizations will be assigned one table to share. Groups could decide to create a display together, or divide the table into two sections. You will be told of any table sharing well in advance so you can plan.

Our desire is that each display provide information that may be taken back to enrich the work of the local church, and that you consider how it might reflect the AC theme: “Do This and You Will Live”, Luke 26-28, focusing on loving with our whole heart, and Ministry With the Poor.

There will be no cost to exhibitors for the 2017 year.

All tables/spaces will be assigned. This allows us to group similar ministries, and eliminates the need to arrive early to claim a favored space.  Please do not trade spaces without permission! Limited electrical outlets are available. If you need an electrical outlet, that must be indicated on the application form and we will do our best to accommodate your needs. You will be responsible for bringing extension cords and blue painter’s tape to cover any cords that cross a pedestrian area.

Please limit your displays and/or presentations to the area assigned and do nothing that might interfere with the space of others.  Because of the limited area, we encourage groups to be creative within the confines of their six-foot table or floor space – go vertical, have interactive displays, use media to draw people to the display. Some assigned tables will be against a wall, with a chair beside each, and some may be in the middle of a room allowing for double-sided access.

Each table comes with a fabric cover and skirt. You may add your own table cover, banner, etc. to provide color.  Please leave the hotel’s covers on the tables.  If you need more than the one provided chair, you’re welcome to bring your own.

Annual Conference this year will be a NUT FREE zone. It will also be Fragrance-Free. Please remember this when considering your personal care and food, as well as any food or other items you put out as enticements.

Displays may be set up between 1:00 and 7:00 pm on Wednesday, June 14.  Displays should remain in place until after lunch Saturday, June 17, especially since there will be special mission-related events that morning. They must be removed by 4:00 p.m. on June 17.

Many folks will stop by the displays as they come through the check-in area after it opens at 3:00 on Wednesday, so we encourage being “up and ready” by that time.  Other optimal times to have your representatives on hand will be during breaks and the staggered lunch periods.

Exhibitors are welcome to attend all open sessions of Annual Conference and to purchase a meal package.  Please register at http://greaternw.org/ac2017/ (after April 1) even if you do not wish to purchase meals, so we will have a nametag ready for you. We have no way to secure the Ministry Marketplace Display area, so please take any computers or other valuable items with you when you are not at the table.  Neither the Convention Center nor either Annual Conference will accept liability for any losses.

RESPONSIBILITY CLAUSE:  Exhibitor assumes responsibility and agrees to indemnify and defend the Oregon-Idaho United Methodist Church and the Red Lion Hotel on the River and their respective employees and agents against any claims or expenses arising out of the use of the exhibition premises.

The Exhibitor understands that neither the Oregon-Idaho United Methodist Church nor the Red Lion Hotel on the River maintain insurance covering the Exhibitor’s property and it is the sole responsibility of the Exhibitor to obtain such insurance.
